We are looking for a highly motivated Executive Assistant to join our Investment Banking team in New York City, NY. This is an energetic and performance-driven office; the Executive Assistant will have an integral role contributing to effective business operations, employee engagement, and the work environment. The Executive Assistant will work closely with senior and junior bankers on a variety of projects and initiatives aimed at improving organization and efficiency.

 

Experience and Skills

Qualifications:
* A minimum of 3 years’ experience as an Executive Assistant supporting multiple individuals in a fast-paced professional environment required, experience in financial services a strong plus
* Must be proactive and solution-oriented: be the first to notice problems, propose solutions, and help execute
* Exceptional written and verbal communication skills, strong interpersonal skills
* Excellent organizational skills with the ability to work under pressure with diverse workloads and little or no direct supervision
* Ability to apply good judgment and appropriately handle sensitive or confidential information and situations
* Strong working knowledge of MS Office, specifically Word, Excel and PowerPoint
* Ability to work with or promptly learn to work with Concur Expense application
* CRM database experience, Salesforce or Singletrack a strong plus
* A team player, willing to assist in other areas when necessary
* Ability to work overtime as needed

Responsibilities:
* Heavy calendar management and coordination of internal and external meetings, conference calls, video conferencing, etc.
* Assist with client outreach by initiating and/or following-up on client communication
* Maintain working knowledge of projects and meeting activity
* Execute data capture and reporting processes
* Prepare, print, and bind client presentations
* Plan internal and client-related virtual and in-person events, including on-site coordination when necessary
* Coordinate domestic and international travel arrangements
* Process expense reports and submit to accounting for payment
* Maintain department files and manage the record retention process to ensure compliance with industry regulations
