Key Responsibilities

1. Marketing and Event Coordination
a. Maintain and update office calendars for conferences, events, marketing initiatives, and vacations.
b. Submit advertising approval forms and manage ad compliance
c. Complete registration forms and manage payments for conferences and events
d. Organize and order event materials and coordinate banker participation
e. Maintain filing systems for events and marketing approvals
f. Prepare and distribute weekly Market Updates
g. Assist with holiday cards and gift packages, and create annual marketing materials
2. Financial and Office Management
a. Balance monthly general ledger expenses and prepare accounting forms
b. Monitor and order office supplies, ensuring available at all times
c. Manage vendor relations for coffee supplies and water coolers
d. Maintain an updated deal list and support the preparation of proposals
e. Perform daily checks on postage meters and manage copier/printer supplies
3. Administrative Support
a. Submit and track banker expense reimbursement reports
b. Process invoices and manage payment reminders
c. Coordinate office volunteer events, wellness exams, and holiday party.
d. Provide support to the Senior Public Finance Associate with RFPS’s, proposals, and special projects
e. Review and file banker emails
f. Assemble meeting documents and manage mailing requests
g. Offer phone coverage and coordinate office/facility maintenance requests
h. Impact Workflow Data Base

Qualifications
1. Proficiency with Microsoft Suite (PowerPoint, Excel, Word, and Outlook)
2. Strong organizational and multitasking abilities
3. Ability to work independently and meet deadlines consistently.
